Campaigns

Campaigns allow you to invite a group of students to schedule with you for a specific service. Most often this is used by Faculty and Professional Advisors during the Advising and Registration season each Fall and Spring.

An advising campaign connects the appointment process for your advisees. Use a campaign to:

  • Set a window of available appointment times.
  • Choose the service, such as advising, and the student population, such as your advisees.
  • Connect appointments to your unit and location, such as your department and office.
  • Set the appointment length and reminder messages.
  • Record whether appointments occurred, were no-shows, were canceled, or were rescheduled.

Once active, reporting features in Navigate allow you to see how your campaign is performing and quickly view how many students still need to schedule. You can also track the data later into the advising season to view how many students have not just attended your advising appointments but have enrolled for the next academic period.

Notes

Student visibility: Notes can be seen by students and other necessary parties when selected “show to student. Notes can be a way to share comments back to a student, report on things discussed, etc.

Appointment Summaries

Workday record: Appointment summaries are used by Â鶹´«Ã½ to document the discussions during advising and other student service appointments. These are internal notes for staff and faculty that should reflect a thorough summary of the meeting with the students. Appointment summaries do get sent to Workday to become part of the students' Note History in that system.

Progress Reporting

What is progress reporting?

During week 3, week 8 and week 11, the Provost’s Office asks faculty to report on their students. The goal is to identify the one primary area of concern (by submitting student notifications) and connect students to appropriate resources.

When should I submit a progress report?

We do this officially during weeks 3, 8, and 11. If you have addressed the issue with the student, and you haven’t seen an expected behavior change, that’s the best time to submit a notification through progress reporting. If you have not yet addressed it with the student, attempt to do that first, and then submit an ad hoc student notification if the behavior continues. If you have addressed the issue and the behavior changed, you do not need to submit a notification.

What types of student concerns should be reported?

Each progress reporting period focuses on different things:

Week 3
Early Intervention
Week 8
Mid-semester Intervention
Week 11
Sent only to students with Ds/Fs at mid-term; asks faculty whether the student can pass the course with effort or whether the student should withdraw from the course.

Attendance, missing work, at -risk grades, and any other concern that would be important to know and staff to use in follow up and outreach.

What information should I include?

Include comments: Please include comments. Any detail that would help the support team address the concern with the student is helpful.

What happens after I submit a progress report?

Each notification submitted through progress reporting sends an automated email to the student, identifying your primary concern and giving suggestions on how to resolve the concern.

Students who receive multiple notifications are reviewed and often assigned a case for intervention and follow-up. At week 3, notifications are reviewed by college advising centers and the ROAR. For week 8, notifications are reviewed by Student Success and Retention. At week 11, students get an email, but professional advisors are assigned cases for those students who are being advised to withdraw from a course.

Who follows up with the student?

Student Success & Retention team members, academic advisors, and other support staff

Notifications and Referrals

Outside reporting periods: If you have concerns about a student who was not listed in your progress reports, or concerns arise outside a progress reporting period, submit an ad hoc notification.

From the student profile, select ‘Issue a Student Notification’ to add a notification with academic or attendance concerns or to connect the student with a referral to campus departments like Tutoring, Writing Center, Financial Aid and more.

Faculty and Staff can view notifications and referrals within the platform.
